A simple inbox workflow keeps things moving. New conversations start as Open, then move to Waiting when you are expecting a reply, and finally to Closed when there is nothing left to do.
Ownership and status
Make ownership visible by assigning every thread, even if you assign it to yourself. This creates accountability and makes handoffs easy when someone is out of office.
Use internal notes to capture context that should stay private, such as pricing constraints, timeline, or decision makers. This keeps customer messages clean while keeping the team aligned.
